Jacob Bros Construction is now hiring an experienced Project Coordinator – Buildings. (1-3 years’ experience required.)
The Project Coordinator reports out of Jacob Bros head office in South Surrey, and must have a valid driver’s license and the ability to commute to project sites througout the lower mainland.
About the Role:
The Project Coordinator – Buildings reports to the Project Manager and assists with planning, organization and direction of ICI and Residential construction projects.
Responsibilities:
- Maintains project document control including daily reports, RFIs, shop drawings, changes, billing and daily labor timesheets
- Assists Superintendent with operational tasks including preparation of work plans and packages, scheduling updates, updating drawings, and supervision of subcontractor operations
- Supervises field operations and plans, schedules and coordinates work on the job site
- Assists with implementing and monitoring Quality and Safety Plans, including participation in job site safety reviews, toolbox meetings, and safety training
- Assists in the preparation of purchase orders, subcontracts and generation of change orders
- Performs basic engineering calculations and assists in interpretations of drawings and specifications for field crews
- Orders, schedules and tracks material deliveries to job site
- Performs other duties as required
- Bachelor’s Degree or post-secondary training in Construction Management, Civil Engineering or a related discipline
- Minimum of 1 year Project Coordinator experience with a General Contractor in the ICI sector
- Ability to communicate effectively with supervisors, project teams and subtrades
- Strong knowledge of construction specifications, methods and procedures
- Working knowledge of scheduling, estimating and subcontracts
- Proficient user of project control software applications, including AutoCAD, MS Project and Microsoft Office Suite
- Strong English communication skills, both verbal and written

- Liaises with external construction industry safety agencies
- Works efficiently in teams and independently; maintains a positive, high energy attitude
- Other related duties as required
- OFA Level 2 mandatory
- Construction Safety Officer (CSO) or NSCO certification preferred
- Minimum 3 years experience in site-based health & safety role in the construction industry
- Civil construction experience is strongly preferred
- Valid class 5 driver’s license
- Working knowledge of computers and experience with Procore (or similar), record keeping and document archival
- Excellent English verbal, written and interpersonal communication skills

About the Role:
In partnership with the Controller, Accounts Payable supervises the AP team to ensure all AP invoices company-wide are received, verified and processed on-time and with accuracy.
Responsibilities:
- Performs a high volume of full cycle accounts payable processing in compliance with Jacob Bros policies and procedures.
- Responsible for cheque runs, expense reports, credit applications, visa payments and US processing and payments.
- Processes monthly rents including invoices and payments.
- Produces monthly statements and equipment cost reports.
- Assists Controller with T5018 reporting.
- Oversees all customs documents and delivery for imported project materials.
- Supports Accounts Payable staff with ongoing training and coaching.
- Provides input to Controller and CFO on Accounts Payable staff performance.
- Matches and posts trucking and aggregates invoices.
- Records, processes, and pays vendor invoices using Sage 300 CRE and Sage Paperless software.
- Ensures proper backup (packing slips and purchase orders) matched to and cross referenced with actual invoices.
- Ensures the proper approval and tracking of vendor invoices including verifying the accuracy of vendors, items, quantities, prices, and purchase terms.
- Ensures vendor payments (as required) are made in a timely manner to comply with vendor terms.
- Investigates and reports accounts payable discrepancies.
- Assists with posting payroll time entries.
- Performs related duties as assigned.
- Secondary school graduation (Grade 12).
- Three (3) + years accounts payable work experience or an equivalent combination of education, training and work experience.

- Construction industry experience is preferred.
- Completion of a recognized accounting course is an asset.
